8.19 Driving Requirements

Certain jobs within LUU require the job-holder to be able to drive company vehicles. If your job falls into this category, it is therefore a condition of your employment that you hold, and continue to hold, a current full driving licence. If you lose your driving licence through a conviction, this must be reported immediately to your line manager and the

Head of Employee Experience. Depending on the circumstances, following investigation this may result in the termination of your employment.

If you acquire any points on your driver’s licence during the course of your employment you must inform your line manager. Should you receive any criminal convictions for any motoring offenses you must report the date and details to your line manager. The Union is not responsible for speeding tickets occurred by drivers any points or driving offenses committed while driving for business. You must also inform the Head of People Operations if you are charged with such offence.

Authorised Drivers

The Union has its own Motor Insurance Policy, allowing us to hire vehicles from local hire companies for LUU usage. To be covered under LUU’s insurance you need to complete and sign an online LUU Authorised Drivers Form. We would prefer that you have a clean licence but you can have up to three points. If you have more than three points, your licence is sent off to the insurance company and it is at their discretion if you are allowed to be covered on our insurance.

Private Vehicle Use

Members of staff that are using their vehicle for LUU business and transporting other members of staff, need to register their vehicle with the Union. They must complete the LUU Private Vehicle Use form, sign it and submit the following documentation:

Motor Insurance (including business cover)

MOT Certificate (if under three years old, a copy of the V5C New Vehicle Registration Document)

We advise that those registering their vehicle register as a driver for the Union (complete an LUU Authorised Drivers Form), so if their car isn’t available a car can be hired. The Authorised Drivers List is renewed annually, in line with the motor insurance renewal but at any point during the year you get points on your licence or your personal vehicle’s insurance is renewed, you must supply LUU with an up to date copy of your documents.

Damage

The excess on all vehicle damage is £1000, so please bear this in mind when hiring vehicles for your department. Any vehicles returned with damage will be charged to LUU and the department will have to cover this cost.

MiDAS

Under the LUU’s Motor Insurance, to drive a vehicle with more than five seats, you must have a MiDAS qualification. This includes the Minibus.

Minibus Drivers

To drive the minibus you need a minimum MPV MiDAS qualification and it can be hired during the day through the Head of Facilities and Environment during term time. This is at no cost to your department, but you must ensure the driver has the appropriate MiDAS qualification and that it is for LUU use.

Accidents / Near misses/Miscellaneous Damage

All accidents, near misses and miscellaneous damage must be reported to your line manager immediately and an incident form filled in no matter how minor. Photos of damage must be taken where possible and details of all parties must be taken including any witnesses. If any injury occurs your line manager must be informed immediately.

All drivers are to complete the pre-shift checklist and existing damage checklist for the Minibus they are using. Drivers must make a note of any new damage and report this to their line manager along with photos and as much information about how it happened (if known). At the end of the shift, another review must be taken of the Minibus to check for damage and a post-shift checklist needs to be completed. Any new damage must be reported to your line manager. Failure to report damages will be treated as a misconduct issue in line with LUU’s Disciplinary Procedure.
